CORPORATE PODCAST STUDIO BOOKING AGREEMENT
1. Booking Policies
1.1 General Booking Guidelines
Clients can book studio sessions via the official website or by phone or email at info@alexanderspencer.com.au.
Bookings are available in hourly and bundle packages.
Booking confirmation is subject to payment within 2 business days.
The studio operates from Monday to Friday, 9:00 AM – 5:00 PM.
Last-minute bookings (less than 1 business day notice) are subject to availability.
1.2 Booking Confirmation & Payment
An automatic email confirmation is sent upon reservation.
Payments must be completed within 2 business days of booking; otherwise, the reservation is cancelled.
Accepted payment methods: Credit/Debit Card or Bank Transfer.
Clients with confirmed bookings will receive an automated reminder 3 days before the session.
2. Payment & Cancellation Policies
2.1 Payment Terms
All bookings must be paid within 2 business days of reservation.
2.2 Refund & Cancellation Policy
Cancellations within 2 business days before the session: Full refund or free reschedule.
Cancellations within 1 business day before the session: 50% refund or one-time reschedule.
No-Show: No refund.
3. Technical Disruption Policy
3.1 Definition of Technical Disruption
Equipment failure (microphones, recording devices, computers).
Software malfunctions.
Power outages.
3.2 Troubleshooting
Our Marketing Team will be available to do basic troubleshooting during the session. If the issue cannot be resolved within a reasonable timeframe, refund and rescheduling options will be offered.
3.3 Refund/Reschedule Policy for Recording Disruption
Minor Disruption (less than 15 minutes): Session continues with minimal disruption.
Significant Disruption (15-30 minutes): Extend the session time or provide a 50% refund.
Major Disruption (over 30 minutes or session termination):
Option 1: Full reschedule of the session at no additional cost.
Option 2: Full refund of the session fee.
The client will choose which option they prefer.
Force Majeure: Rescheduling will be prioritised in cases of events outside of the studio's control (e.g., widespread power outages, natural disasters).
3.4 Preventative Maintenance
Regular checks and maintenance of all equipment are conducted to minimise potential failures.
4. Late Arrival Policy
Sessions start and end at the scheduled time.
A 5-minute grace period is allowed for late arrivals.
If you arrive late, your booking may be extended by up to 15 minutes, subject to availability.
If an extension isn’t possible, the session will end at the originally scheduled time.
5. General Terms & Conditions
5.1 General Terms
By booking a session at The Executive Mic, clients agree to comply with all terms and conditions outlined in this document.
The studio reserves the right to modify these terms at any time. Clients will be notified of significant changes.
Failure to adhere to these terms may result in suspension of studio privileges.
5.2 Studio Usage
Clients must arrive at least 15 minutes before their scheduled session to allow time for setup.
The maximum occupancy per session is three people unless otherwise approved.
No food, drinks, or smoking is allowed inside the studio.
Clients are responsible for using the studio equipment properly. Any damages must be reported immediately.
5.3 Equipment & Technical Assistance
The studio provides professional recording equipment, including microphones, headphones, and audio interfaces.
A basic equipment walkthrough will be provided at the beginning of each session.
Additional technical assistance (beyond basic setup) is available upon request for an additional fee.
5.4 Recording Files & Storage
The studio saves your files in the Cloud (Google Drive) and sends you a link after the recording. Files will be available within 1-2 business days.
The studio retains recording files for 7 days (Basic) and 30 days (Plus and Premium) before automatic deletion.
The studio is not responsible for lost or corrupted files after the storage period.
5.5 Conduct & Liability
Clients must professionally conduct themselves at all times.
Any inappropriate behaviour, including harassment or misuse of equipment, will result in immediate termination of the session without a refund.
The studio is not responsible for any personal belongings left behind.
5.6 Privacy & Confidentiality
The Executive Mic respects client privacy and does not store or share recordings without consent.
Clients are responsible for ensuring their recordings do not violate copyright or legal regulations.
5.7 Emergency Situations
In case of an emergency (fire, evacuation, or medical incident), clients must follow staff instructions immediately.
Emergency exits and safety procedures will be briefed at the beginning of the session.
